CWToday is an independent local news publication run by two people covering Coventry and Warwickshire. This notice explains what personal information we may collect, why we use it and the choices available to you.

Information you give us

If you contact CWToday, send a story, submit a correction or complaint, or provide photos or video, we may receive your name, email address, the information you send and any media or links you choose to provide.

Why we use it

We use submitted information to assess stories, verify facts, respond to readers, handle complaints and corrections, protect the integrity of the newsroom and, where appropriate, publish editorial material. We only use the information that is reasonably necessary for those purposes.

Lawful basis

Depending on the situation, our lawful basis may include your consent, our legitimate interests in operating and protecting a local news service, taking steps you ask us to take, or complying with a legal obligation. Journalism can also be subject to specific exemptions and protections under UK data-protection law where applicable.

Website and technical data

Our hosting, security and technical providers may process information such as IP address, browser type, device information, requested pages and timestamps where necessary to deliver and secure the site. Optional analytics is only enabled where consent is required and has been given.

Reader submissions and media

Contact details supplied with a tip are not published unless you agree or there is another lawful basis to do so. Please only submit photos, video or other material you are entitled to share. We may retain evidence of permissions, credits and source information where material is considered for publication.

Who we share information with

We may use service providers needed to host, secure and operate CWToday, including website hosting, database, storage and email providers. We do not sell reader personal data. We may disclose information where required by law, to protect legal rights, or where reasonably necessary for an editorial or legal process.

How long we keep information

We keep information only for as long as reasonably necessary for the purpose it was collected for, including editorial verification, legal, security and complaint-handling needs. Retention periods can vary depending on the nature of the material.

Your rights

Depending on the circumstances, UK data-protection law may give you rights including access, correction, erasure, restriction, objection and data portability. Some rights can be limited where an exemption applies, including in certain journalistic contexts.
